Refund policy

At Vocalweb solutions, we are committed to your satisfaction with our AI automation services. We understand that situations may arise requiring a refund policy. Please read the following terms carefully.

Initial development (development fee)

The initial development fee paid for the custom implementation of any of our voice agents (inbound, outbound, reminder, web informer) or the 'support 2.0 system' is non-refundable once the development and implementation process has begun and significant resources have been dedicated to your project. This is due to the nature of the personalized service and the resources invested in the initial setup and adaptation of specific workflows for your business needs.

Monthly maintenance (maintenance fee)

Monthly maintenance fees are for the ongoing provision of the service and are non-refundable once the service period for which they were billed has begun. If you decide to cancel your maintenance subscription, your service will remain active until the end of the current paid monthly billing cycle, and you will not be charged for future cycles. No partial refunds will be issued for the current month.

Exceptional cases

We will consider refunds only in exceptional circumstances and at our sole discretion, such as:

  • If Vocalweb solutions is unable to provide the contracted service due to reasons directly attributable to us (e.g., critical and unexplained failures in our platform that prevent the main functioning of the service for an extended period and are not resolved in a reasonable time), and not due to external factors beyond our control (e.g., customer connectivity issues, incorrect configurations by the customer or third-party services, changes in third-party API policies).
  • In cases of clear and verifiable billing errors on our part.

To request a refund in an exceptional case, you must contact us within 14 days of the incident or charge that justifies the request, providing a detailed explanation and any relevant evidence. We reserve the right to investigate and determine the validity of the request.

Refund request process

All refund requests must be submitted in writing to our support email: admin@vocalweb.club. Include your company name, the date of purchase, and a detailed description of the reason for your request. We will evaluate each request individually and respond to you within a reasonable time.

Modifications to the refund policy

We reserve the right to modify this refund policy at any time. Modifications will become effective once published on our website. We recommend that you review this policy periodically.
